Terms of Service

These terms explain the rules for using Voice Yanga, a platform that helps communities report issues, follow progress, and support accountable action.

Please read carefully. By creating an account or using Voice Yanga, you agree to these Terms of Service. If you do not agree, please do not use the platform.

1. Acceptance of these terms

Voice Yanga (“we”, “us”, or “our”) provides a digital platform through which people can report community issues, receive updates, and help identify issues affecting their area. These Terms govern your use of the Voice Yanga mobile application, website, dashboard, and related services (together, the “Service”).

You may also be subject to our Privacy Policy and any additional terms shown for a particular feature or partner programme.

2. What Voice Yanga does

Voice Yanga converts community concerns into structured, trackable information. Users may submit reports about issues such as water, sanitation, roads, electricity, security, and waste management. Approved organisations and officials may use a dashboard to review, assign, comment on, and update reports within their permitted areas.

Important: Voice Yanga helps surface and track issues. It is not an emergency service, law-enforcement agency, government authority, utility provider, or guarantee that any report will be acted on or resolved.

3. Eligibility and accounts

  • You must provide accurate, current account information and keep it updated.
  • You are responsible for keeping your password and device secure and for activity under your account.
  • You must promptly tell us if you believe your account has been accessed without permission.
  • Organisation and official dashboard accounts are created or approved by Voice Yanga; public self-registration for those roles may not be available.
  • If you are under the age required to enter into these Terms in your location, use the Service only with the permission and supervision of a parent or legal guardian.

4. Acceptable use

You agree to use the Service lawfully, respectfully, and in good faith. You must not:

  • submit knowingly false, misleading, duplicated, malicious, or fraudulent reports;
  • threaten, harass, defame, discriminate against, or expose another person;
  • upload content that is unlawful, harmful, sexually explicit, violent, hateful, or infringes someone else’s rights;
  • share personal, confidential, or sensitive information about another person unless you have a lawful right to do so;
  • impersonate another person or organisation, or misrepresent an issue or your location;
  • attempt to disrupt, scrape, reverse engineer, bypass security, or gain unauthorised access to the Service or its data;
  • use the Service for commercial spam, political manipulation, or any purpose unrelated to genuine community reporting.

5. Your reports, photos, and other content

You keep ownership of the content you submit, including report text and photos (“User Content”). By submitting User Content, you grant Voice Yanga a non-exclusive, worldwide, royalty-free licence to host, store, reproduce, analyse, adapt, display, and share it only as needed to operate, improve, secure, and promote the Service and to route the relevant report to authorised organisations.

You confirm that you have the rights and permissions needed to submit the User Content. Do not upload images of people, homes, documents, vehicle plates, or other sensitive material unless it is genuinely necessary for the report and you have considered their privacy.

Reports may be visible to authorised officials, partner organisations, or other users depending on the feature and settings. We may use aggregated and de-identified data to produce community insights, analytics, impact reports, and dashboards.

6. Review, moderation, and corrections

We may review, limit visibility of, edit for clarity, reject, remove, or request more information about content that violates these Terms, creates safety or privacy risks, or appears unreliable. We are not required to review every report and cannot guarantee that all inaccurate or harmful content will be identified.

If you believe a report about you is inaccurate, infringes your rights, or creates an immediate safety concern, contact us using the details below and include the report reference where possible.

7. Organisations, officials, and report updates

Dashboard access does not make Voice Yanga responsible for an organisation’s decisions, response times, comments, or outcomes. Organisations and officials are responsible for ensuring that their use of the Service complies with applicable laws, their internal policies, and their authority. They must protect account credentials and use information only for legitimate community-service, analysis, or response purposes.

Status labels such as “Reviewed”, “Assigned”, “In Progress”, “Resolved”, or “Rejected” reflect information entered or confirmed within the Service. They do not constitute a legal finding, official certification, or guarantee of a particular outcome.

8. Privacy, location, and communications

We collect and use information necessary to provide the Service, such as account details, reports, photos, approximate or selected location, device information, and service activity. Location is important for routing issues to the correct ward, district, constituency, or organisation, but you should provide only what is necessary.

We may send service messages and push notifications about account security, report updates, comments, assignments, and changes to the Service. Our handling of personal information is explained in our Privacy Policy.

9. Availability and offline use

Voice Yanga may support saving reports on your device while offline and syncing them once you reconnect. A saved offline report is not confirmed as received until it successfully syncs to our systems. You are responsible for checking your report status and retaining any important evidence.

We may modify, suspend, maintain, or discontinue any part of the Service. We do not guarantee uninterrupted, error-free, or fully secure availability.

10. Disclaimers

The Service is provided on an “as is” and “as available” basis. To the fullest extent permitted by law, Voice Yanga disclaims warranties of merchantability, fitness for a particular purpose, accuracy, availability, non-infringement, and that reports will be received, investigated, routed, responded to, or resolved by a third party.

Do not use Voice Yanga to report emergencies. If there is an immediate threat to life, safety, or property, contact the appropriate emergency service, police, health provider, utility, or local authority directly.

11. Limitation of liability

To the fullest extent permitted by applicable law, Voice Yanga and its founders, team members, partners, and service providers will not be liable for indirect, incidental, special, consequential, or punitive damages, or for loss of data, opportunities, goodwill, or profits arising from your use of, or inability to use, the Service.

Nothing in these Terms excludes liability that cannot lawfully be excluded or limited.

12. Suspension and termination

You may stop using the Service at any time. We may suspend or terminate access, remove content, or restrict features where we reasonably believe there is a breach of these Terms, a security risk, unlawful activity, or harm to the community or the Service.

Where appropriate, we may retain information required for legal obligations, security, dispute resolution, audit history, or legitimate operational purposes, subject to applicable law and our Privacy Policy.

13. Changes to these terms

We may update these Terms as the Service develops or laws and operational requirements change. We will post the updated version with a revised effective date and may provide notice through the app, website, or email for material changes. Continued use after the effective date means you accept the updated Terms.

14. Governing law

These Terms are governed by the laws of the Republic of Zambia, except where mandatory law in your place of residence requires otherwise. Any dispute will be handled by the courts of Zambia unless applicable law provides another forum.
